From request to ready-to-send quote

AI agents analyse the request, suggest items and write the quote text. You check it in the review step and send the PDF.

How Quotetool works

Quotetool automates the path from quote request to a document that’s ready to send. You decide per type of job what that path looks like.

  1. A request comes in. Through a linked mailbox, every request automatically becomes a quote session — attachments included — or you start a quote yourself in one of your flows. In the intake step you gather the job details; photos and documents are read with OCR.
  2. AI agents analyse and write. Analysis agents estimate labour hours, flag risks and suggest items from your catalogue. Writing agents then draft the introduction, scope description, terms and closing — each with its own prompt, in a fixed order.
  3. You review and send. In the review step you adjust every part and generate the quote PDF on your own document template, with a calculation report and fixed attachments if you want them. Your corrections become feedback the agents learn from.

Who it’s for

Works together with other apps

Quotetool looks up customers in CRM and starts a quote straight from a customer record. You import items from ERP Producten or via CSV, and you forward a completed service quote to Klantenportaal.

What it does

Frequently asked questions

What is a quote flow?
A flow is the blueprint for one type of quote: which intake data is needed, which AI agents analyse and write, which validation rules apply and which document template is used. You don't have to write prompts yourself — the setup wizard generates an agent set-up based on a description of your work.
Does the AI write the whole quote itself?
No. The agents deliver proposals: a job analysis, a labour-hour estimate, item suggestions and the quote texts. In the review step you check and edit every part before you finalise the quote. Your changes are stored as feedback that steers the agents going forward.
Can quote requests come in by email?
Yes. You link a mailbox to Quotetool; every request appears in the email inbox with its text and attachments. Per flow you decide whether requests automatically become a quote session or whether you assign them by hand first.
How does my item file get into Quotetool?
Quotetool has its own item catalogue that you fill via CSV import, a sample catalogue, or straight from the ERP Producten app. Synonyms and fuzzy matching make sure that differently worded requests still find the right item — the system learns new synonyms from your own choices.
Which documents does Quotetool produce?
A quote PDF based on your own document template, with a calculation report attached if you want one. You also manage fixed attachments (such as terms or a rate overview) and reusable condition texts that are added automatically.
